If 2025 taught us anything, it’s that you can’t fix a broken practice by just "processing claims" more efficiently. You have to re-architect the entire system.

If we look back at 2025, the industry was at a breaking point. While many practices were still clinging to labor-intensive, manual billing processes, the environment was shifting beneath them. One of the most practical questions I hear is this: How do I actually work with an Architect instead of a Shop? The answer is that the relationship changes from transaction management to system design. You stop measuring isolated outputs and start managing the integrity of the whole practice.

Here are three practical ways to begin bridging that gap:

  1. Move from per-claim metrics to Systemic Integrity KPIs. Instead of evaluating success only through narrow billing outputs, expand the scorecard. Look at physician satisfaction, workflow stability, patient experience, community impact, and leadership visibility alongside financial performance. In a well-architected practice, revenue is important, but it is not the only proof that the system is working.
  2. Conduct a Structural Audit of credentialing and EHR workflows. Before any meaningful transformation happens, leaders need to understand where friction lives inside the current infrastructure. That means assessing credentialing timelines, EHR handoffs, documentation flow, denial patterns, and where administrative drag is affecting clinicians and staff. A strong practice management strategy begins with seeing the structure clearly.
  3. Shift to Visionary Reporting. Aging reports still matter, but they cannot be the whole story. Leaders need reporting that shows where the organization is heading, not just where money is stuck.
